This Privacy Policy explains how MentSpire (“we,” “us,” or “the Company”) collects, uses, shares, and protects personal information across the Sri Lankan Event Portal, the Sri Lankan Wedding Portal, all dedicated category portals, and the parent Event Vendor Portal (collectively, the “Platform”) — covering vendors for any event type, including weddings, corporate parties, exhibitions, conferences, and birthdays, made discoverable through the Platform's daily-operating virtual exhibition.
General Provisions
These provisions apply to everyone who uses the Platform — Guests and Vendors alike. Sections specific to each group follow after this part.
1. Who We Are
The Platform is operated by MentSpire, the parent company behind Event Vendor Portal, the Sri Lankan Event Portal, the Sri Lankan Wedding Portal, and each dedicated category portal (Emcees, Makeup Artists, Musicians, Visual Artists, and other event vendor categories). For the purposes of this Policy, MentSpire is the data controller responsible for personal information collected through the Platform.
2. Scope of This Policy
This Policy applies to all personal information collected through the Platform, whether you are a Guest searching for vendors for any type of event (weddings, corporate parties, exhibitions, conferences, birthdays, and others), or a Vendor listing your services. It does not apply to third-party websites or services linked from the Platform.
3. Information We Collect
We collect information you provide directly (such as account details, event requirements, and profile information), information generated through your use of the Platform (such as availability checks, tentative booking requests, and searches within the daily virtual exhibition), and limited technical information (such as device type, browser, and general location) collected automatically to operate and secure the Platform.
4. How We Use Your Information
We use collected information to operate the Platform's core function — connecting Guests with Vendors across every event category — including displaying vendor availability, facilitating tentative bookings, showing applicable discounts or promotions, maintaining accounts, communicating essential service updates, and improving the Platform's functionality and security.
5. Legal Basis for Processing
We process personal information on the basis of: performance of the service you have requested (e.g. displaying your search results or your vendor listing); your consent, where required (e.g. marketing communications); and our legitimate interest in operating, securing, and improving the Platform.
6. Sharing of Information
When a Guest contacts or tentatively books a Vendor, relevant booking-related information (such as event date, event type, and contact details necessary to coordinate the booking) is shared with that Vendor. We do not sell personal information to third parties. We may share limited information with service providers who help us operate the Platform (such as hosting or analytics providers), under confidentiality obligations.
7. Payments
The Platform does not process, hold, or store payment information between Guests and Vendors, as all payments for services are made directly between the two parties. Vendor subscription payments to the Platform, where applicable, may be processed via a third-party payment processor, which has its own privacy practices.
8. Marketing Communications
We only send marketing communications to individuals who have opted in via the Platform's consent process at sign-up. You may unsubscribe from marketing communications at any time by clicking the ‘unsubscribe’ link in any email we send, or by adjusting your communication preferences in your account settings. Opting out of marketing communications does not affect essential service-related messages (e.g. booking confirmations).
9. Cookies & Similar Technologies
The Platform may use cookies and similar technologies to keep you logged in, remember your preferences, and understand how the Platform is used, so we can improve it. You can control cookie preferences through your browser settings; disabling certain cookies may affect Platform functionality.
10. International Data Transfers
Because the Platform serves Sri Lankans in Sri Lanka, the Sri Lankan diaspora worldwide, and (via the global Event Vendor Portal) vendors and guests in other countries, personal information may be transferred to and processed in countries other than your own. Where this occurs, we take reasonable steps to ensure your information continues to receive an appropriate level of protection.
11. Data Retention
We retain personal information for as long as necessary to provide the Platform's services, comply with legal obligations, resolve disputes, and enforce our agreements. Vendor listings and associated data may be retained for the duration of an active subscription and a reasonable period thereafter for record-keeping purposes.
12. Data Security
We take reasonable technical and organizational measures to protect personal information against unauthorized access, loss, misuse, or alteration. However, no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.
13. Your Rights
Subject to applicable law, you have the right to access, correct, or request deletion of your personal information, to object to or restrict certain processing, and to withdraw consent where processing is based on consent (such as marketing communications). To exercise these rights, contact us using the details in Section 16.
14. Children's Privacy
The Platform is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such information, we will take steps to delete it.
15. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes to the Platform or applicable law. Continued use of the Platform after changes are posted constitutes acceptance of the revised Policy.

17. Governing Law
This Privacy Policy is governed by the laws of Sri Lanka, including the Personal Data Protection Act, No. 9 of 2022, where applicable. Any dispute arising from this Policy shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.
Guest-Specific Privacy Notice
This section provides additional detail relevant to Guests searching for and booking Vendors for any type of event through the Platform's daily virtual exhibition.
G1. Information Collected from Guests
When you use the Platform as a Guest, we may collect: your name and contact details; event details you provide to help match you with relevant Vendors (such as event type, date, and location); your search and browsing activity within the virtual exhibition; and any messages or booking requests you send to Vendors through the Platform.
G2. How This Information Is Used
This information is used to show you relevant Vendor availability, facilitate tentative bookings, display applicable discounts or promotions, and, where you have opted in, keep you informed of promotional periods and offers relevant to Vendors you have booked or shown interest in.
G3. Sharing with Vendors
When you contact or submit a tentative booking request to a Vendor, we share the information necessary for that Vendor to respond to and fulfil your request (such as your name, contact details, and event details). Vendors are independent third parties and are responsible for how they handle your information once received; we encourage you to review any privacy practices a Vendor shares with you directly.
G4. Reviews You Submit
If you submit a review or rating after an engagement with a Vendor, this may be displayed publicly on the Vendor's profile, associated with your name or a display name of your choosing, depending on the Platform's review settings at the time.
Vendor-Specific Privacy Notice
This section provides additional detail relevant to Vendors listing their services across any dedicated category portal, the Sri Lankan Event Portal, the Sri Lankan Wedding Portal, or the parent Event Vendor Portal.
V1. Information Collected from Vendors
When you register as a Vendor, we may collect: your name or business name and contact details; portfolio content (photos, videos, descriptions); pricing and service information; your availability calendar; subscription and billing details (processed via a third-party payment processor); and any verification documents provided to confirm your identity or credentials.
V2. How This Information Is Used
This information is used to display your public profile and availability across the Platform's portals, facilitate tentative bookings from Guests, process your subscription payments, and communicate with you regarding your listing, bookings, or account status.
V3. Public Visibility of Vendor Information
Certain information you provide as a Vendor — such as your business name, portfolio, pricing, and availability — is intended to be publicly visible across the Platform's portals as part of the service. Please do not include personal information in public-facing fields that you do not wish to be visible to Guests.
V4. Cross-Portal Visibility
A Vendor's listing on a dedicated category portal is automatically made visible across the Sri Lankan Event Portal, the Sri Lankan Wedding Portal, and, where applicable, the global Event Vendor Portal. This cross-portal visibility is a core feature of the Vendor subscription and is disclosed to Vendors at sign-up.
V5. Reviews & Ratings
Guests may leave reviews and ratings on your profile based on genuine engagements. We do not remove genuine, non-defamatory reviews at a Vendor's request, though Vendors may report reviews they believe violate the Platform's content standards.
V6. Data Related to Blacklisting
Where a Vendor is blacklisted and removed from the Platform in accordance with the Vendor Terms & Conditions (e.g. following verified non-attendance after full payment), we may retain relevant records of the incident for legal, compliance, and safety purposes, even after the Vendor's public listing is removed.
